We’re seeking an exceptional Contour Concierge to be the warm, polished face of our practice and the first touchpoint in every client’s journey. Equal parts client care coordinator, office manager, and receptionist, this role is key to creating the smooth, signature experience Contour Collection is known for. From expert scheduling and seamless check-ins to back-end coordination and day-to-day operations, you’ll help ensure every visit feels elevated, effortless, and unforgettable.
You’ll welcome clients, provide service and product education, process payments, and schedule future appointments—all while maintaining a clean, organized, and inviting front office environment. Additional responsibilities include answering phones, supporting administrative tasks, restocking products, and keeping our space looking photo-ready. Whether it’s a client’s first visit or their tenth, you’ll help make it feel like their best one yet.
This position will begin as part-time (1–2 days per week, primarily Saturdays and select Wednesdays) with the opportunity to grow into a full-time role as our team expands. We’re looking for someone who views this as more than a job—a chance to be part of a boutique practice built on care, connection, and an elevated client experience.

Exceptional organization and attention to detail are essential, along with a proactive, resourceful mindset and the ability to solve problems gracefully. Whether answering questions, educating patients, or making tailored recommendations, you’ll bring clarity, confidence, and warmth to every touchpoint—whether in person, over the phone, or via email.
You should feel comfortable navigating office software and electronic records systems, managing patient information and payments accurately while multitasking with ease. The ability to take direction, work independently, and stay composed under pressure is key. We offer comprehensive training to enhance your existing skills and deepen your industry knowledge.

High school diploma or equivalent required
Tech-savvy and organized, with confidence using email, spreadsheets, and inventory management systems
Flexible availability, including weekends as needed
Background in hospitality, luxury retail, or high-end medical or restaurant environments preferred—especially roles requiring strong communication and attention to detail
Familiarity with EMR and scheduling platforms; Aesthetic Record experience is a plus
Bonus: Experience in a front desk, patient coordinator, or office management role—ideally within aesthetics, boutique wellness, or a luxury service setting
Client Experience & Front Desk Operations
Welcome each client with warmth, professionalism, and a polished presence that reflects the luxury of the Contour Collection experience
Manage all aspects of check-in and check-out: verify and update patient information, collect necessary authorizations or referrals, ensure all forms and consents are complete, and communicate pre/post-care instructions with clarity
Serve as the first point of contact by phone, text, and email—responding promptly, professionally, and knowledgeably to client inquiries
Educate clients on treatments, memberships, skincare offerings, and current promotions
Possess a strong understanding of Contour’s medical-grade skincare products and the ability to confidently recommend and sell products based on client needs and treatment plans
Consistently monitor the reception area to ensure guests feel comfortable and cared for—offering their preferred beverage, keeping them informed of any delays, and maintaining a clean, serene, and thoughtfully curated environment.
Deliver a consistently elevated, personalized experience that fosters trust, warmth, confidence, and loyalty
Scheduling & Office Coordination
Oversee daily appointment flow, confirmations, reschedules, and cancellations with efficiency and attention to detail
Coordinate new patient inquiries, consultations, and follow-ups in a warm and professional manner
Place reminder and no-show follow-up calls; assist with rescheduling as needed
Maintain accurate and up-to-date records in Aesthetic Record and other internal systems
Prepare and organize patient charts; assist with data entry and other front office admin duties
Proactively monitor inventory and communicate low inventory levels for both office supplies and skin care
Team & Business Support
Maintain systems such as Aesthetic Record and CRM platforms with accuracy
Track and support key performance metrics—like rebooking, product sales, and client retention
Assist with reviews, loyalty programs, and patient follow-ups
Contribute to a positive, aligned team culture rooted in excellence, professionalism, and mutual support
